This notice explains what we do with personal information when you contact us, when your organisation becomes a client, and when you use this website. It is written to be read, not to be survived. If anything in it is unclear, ask us and we will explain it in plain terms.
Who we are
EasyLifeIT is a trading brand of DSM (GB) Limited. DSM (GB) Limited is the data controller for the personal information described in this notice, which means we decide why and how it is used.

Where we act for our clients rather than for ourselves
Much of what we do involves handling systems that belong to our clients — their email, their files, their servers, their devices. When we work on those systems we are acting as a processor on that client’s instructions, and their own privacy notice governs how that information is used, not this one. This notice covers the information we hold in our own right: enquiries, contracts, support records and website visitors.
What we collect
When you contact us
Our enquiry forms ask for your name, your company, your email address, roughly how many users you have, and whatever you choose to write in the message. If you telephone or email us instead, we hold whatever you tell us and a record of the conversation.
When your organisation becomes a client
We hold the contact details of the people we deal with — names, job roles, work email addresses and telephone numbers — together with contract and billing information, and a record of the support we have provided.
When you use our support tools
If you raise a ticket through our client portal we hold your portal account details and the tickets you raise. If an engineer takes control of your machine through our remote support tool, that session is initiated by a code we give you at the time, it runs only while you allow it, and we hold a record that the session took place.
When you visit this website
Our web server keeps standard access logs, including IP addresses, for security and troubleshooting. We use a small number of essential cookies to make the site work. Anything beyond that — analytics or measurement — runs only where you have agreed to it, and you can change your mind at any time.
Our Google reviews are displayed using a third-party widget. When it loads, Google may receive your IP address and set cookies under its own privacy policy.
Why we use it, and on what basis

We do not sell personal information, we do not share it with advertisers, and an enquiry does not put you on a marketing list. If we ever want to send you something that is not about a service you already have, we will ask first.
How long we keep it
- Enquiries that do not become clients: up to 24 months, then deleted.
- Client contract and billing records: for the life of the contract and six years afterwards, which is the period UK tax and limitation rules require.
- Support tickets and service records: six years, so that we can account for work we have done.
- Website access logs: 90 days.
Where we no longer need something, we delete it or anonymise it.
Who else sees it
We share personal information only where we need to, and only with organisations that are contractually bound to protect it:
- The suppliers whose platforms we use to run our own business — our email and productivity provider, our accounting system, our ticketing and remote support tools and our website host.
- DSM Group companies, where a service is delivered from the group’s own UK infrastructure.
- Our professional advisers, such as accountants and auditors, where they need it to advise us.
- Law enforcement or a regulator, where we are legally required to provide it.
We do not give anyone else access for their own purposes.
Where it is held
Services delivered from our own infrastructure are hosted in the United Kingdom, in data centres operated by DSM Group. Some of the third-party platforms we use may process information elsewhere in the UK, the European Economic Area or, in limited cases, further afield. Where information leaves the UK we rely on an adequacy decision or on the International Data Transfer Agreement or equivalent standard contractual clauses, so that it keeps the same protection it had here.
How we protect it
We are members of the Chartered Institute of Information Security and hold ISO 27001 certification. In practical terms that means access to personal information is restricted to the people who need it, our systems are patched and monitored, our staff are trained, and we review how we are doing rather than assuming it is fine.
No system is perfect. If something goes wrong and it presents a risk to people, we will tell the Information Commissioner’s Office within 72 hours, and we will tell you directly where the risk to you is high.
Your rights
Under UK data protection law you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct anything that is wrong or incomplete;
- delete information where we no longer have a good reason to keep it;
- restrict what we do with it while a question about it is resolved;
- provide it in a portable form, where we hold it on the basis of consent or a contract;
- stop using it where we rely on legitimate interests and you object; and
- withdraw consent at any time, where consent is what we relied on.
Email support@easylifeit.com and mark your message for the attention of data protection, or write to us at the address above. We will respond within one month. There is no charge. We may ask you to confirm who you are before we release anything, which protects you rather than us.
If your request concerns information held in a client’s systems rather than our own, we will pass it to that client, because it is their notice that governs it.
Cookies
Essential cookies keep the site working and cannot be switched off. Anything else is set only after you agree, through the banner shown on your first visit. You can change your choice at any time, and you can clear or block cookies through your browser settings, though parts of the site may then behave oddly.
Other websites
This site links to our client portal, our remote support tool and to third-party sites such as Google. Once you follow a link, the privacy notice of that site applies, not this one.
If you are unhappy
Please tell us first, so that we can put it right. If you are still not satisfied, you can complain to the Information Commissioner’s Office, the UK supervisory authority for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113. You can complain to the ICO without coming to us first.
Changes to this notice
We review this notice at least once a year and whenever we change how we work. The date at the top tells you when it last changed. Where a change materially affects you, we will tell you rather than relying on you to notice.
