Most people use about a tenth of the 3CX web client, usually because nobody ever showed them where anything is. The four things worth knowing are where the dialler hides, how to search rather than dial, what your status does to incoming calls, and which controls appear while you are on a call. That is the whole of this guide.

Which version this describes

3CX version 20, which is what 3CX currently documents. If your system is older the screens will differ, sometimes a lot. If nothing here matches what you are looking at, ring us and we will tell you what you are on.

Making a call

  1. Open the dialler. Click the dialler icon in the top right corner of the web client.
  2. Search instead of dialling. You can type a phone number, but you can also search by name, extension number or email address. Searching is faster and gets the right person more often.
  3. Click the handset icon. That starts the call.

Two things sit just above the number pad and are worth finding once: the calling device and audio and video settings, which is where you pick which headset actually gets used, and the ringer off and on toggle.

Float the dialler

Click the float icon and the dialler comes away from the main window, so you can keep it in the corner of your screen while you work in something else. The side panel icon opens the BLF menu, which is the grid of quick dial and shortcut buttons for the colleagues you call most.

Contacts

The Contacts tab holds a searchable list of everyone you can reach, and the dropdown on the right filters it by phonebook: Company, Department, Personal, M365, Google or CRM, depending on what is connected to your system. You can add, edit and delete your own contacts from the same place.

Your status, and what it actually does

Click your avatar in the top right corner and pick a status from the dropdown. The options are Available, Away, Do Not Disturb, Lunch, Business Trip, and the option to set a status temporarily.

  • Your status colour turns yellow automatically when your line is busy. You do not have to do anything.
  • The pencil icon lets you set a custom status message, which is what colleagues see next to your name.
  • Set status temporarily puts a time limit on it, so you cannot forget to switch Do Not Disturb off again. Use it.
  • Each status has its own call forwarding rules behind it, which is the part most people never discover. There is a separate guide on that.
Let it manage itself

3CX can change your status for you from your office hours: Available during them, Do Not Disturb outside them, and Away during breaks. If you are forever forgetting to come off Do Not Disturb, ask us to switch that on.

While you are on a call

The controls that appear during a call are the ones people most often miss, because they only exist while the call is live.

Control What it does
Transfer Sends the call straight through without you speaking to the other person first
Att.transfer Puts the caller on hold so you can announce them before you hand over
New Call Starts a second call without dropping the first
Record Records the call. Check where you stand legally before you make a habit of it
Video icon Turns the call into a video call, from the dialpad

Common questions

My headset is not being used.
Check the calling device setting just above the number pad. The browser and 3CX can disagree about which device is the default, and this is where you settle it.
I am getting calls when I am not at my desk.
That is your status and its forwarding rules rather than a fault. Set the right status, or ask us to set the office hours schedule up for you.
Can I use it on my phone as well?
Yes, there are 3CX apps for iPhone and Android and they sign in to the same extension. The layout differs and some buttons are named differently, which the transfer guide covers.
Where is the setting for X?
Most personal settings live behind your avatar in the top right. Anything that is not there is usually an administrator setting, so ask us.
